Polite, on-time reminder calls for collection teams

Reminder calls are a core part of collection work, and they are easy to get wrong. Call too late and the account has already slipped. Call at the wrong time, too often or in the wrong tone, and you damage the relationship and may break the rules that govern debt collection.

This guide covers how to plan reminder calls that are polite, well timed and fully logged, whether your team makes them or an AI phone agent does.

Know the rules before you dial

In Thailand, the Debt Collection Act B.E. 2558 sets limits on how debt collectors may contact debtors, including when calls may be made and how often. Related rules also cover what may be said and to whom. The details can change, so confirm the current requirements with your legal counsel and build them into your calling plan, rather than relying on each caller to remember them.

Turn those requirements into simple, written rules your team can follow:

  • The days and hours when calls are allowed
  • The maximum number of contact attempts in a given period
  • Who may be told about the account, and how to confirm you are speaking to the right person
  • Words and approaches that are never acceptable

Plan reminders around the due date

Reminder calls work best as a sequence, not a one-off. A simple plan might look like this:

  1. Before the due date. A friendly reminder of the amount and date, with an easy way to pay. Many customers simply forget.
  2. On or just after the due date. A short call to check whether payment is on its way, and to offer a payment link.
  3. After the due date. A follow-up to understand what is happening and agree a date the customer can pay.
  4. When a promise is missed. A respectful call to ask what changed and agree the next step, or pass the account to a specialist.

Keep the tone respectful

Most people who fall behind on a payment are not trying to avoid it. They are busy, short of money this month, or unsure what they owe. A calm, polite call gets further than pressure. A good reminder call:

  • Confirms it is speaking with the right person before discussing the account
  • States the amount and due date clearly
  • Asks an open question: "When would you be able to make the payment?"
  • Offers a simple way to pay
  • Thanks the customer, whatever the outcome

Here is how that might sound:

Agent: "Hello, may I speak with Khun Somchai? ... Thank you. I'm calling about your instalment due on the 25th. Would you be able to pay by then?"
Customer: "I get paid on the 28th. Can I pay then?"
Agent: "Of course. I'll note a promise to pay on the 28th and send you a payment link by SMS now."

Record every attempt and every promise

A clear record protects both your customers and your business. For every call, you should be able to see:

  • When the call was made and whether it connected
  • What was agreed, including any promise to pay and its date
  • Whether a payment link was sent
  • The recording and transcript, if there is ever a question about what was said

Know when to stop and pass it on

Some conversations should not continue as a routine reminder. Pass these to a trained member of your team:

  • The customer disputes the amount or says the debt is not theirs
  • The customer describes hardship: job loss, illness, a family emergency
  • The customer asks to speak with a person
  • The customer is upset or asks you to stop calling

Where an AI phone agent fits

Reminder calls are repetitive and time-sensitive, which makes them a good fit for an AI phone agent. It can work through a call list on schedule, have the same polite conversation every time and leave a complete record of each attempt. Your team then spends its time on disputes and hardship cases, where people matter most.

Lumos builds AI phone agents for collection teams, lenders and leasing companies in Thailand. The agent makes reminder calls before and after the due date, records promises to pay and sends payment links, calls only within the hours you set and logs every attempt, and passes disputes and hardship cases to your team. Make sure those hours and limits follow the current rules your counsel confirms.
